You connected ChatGPT or Claude to your Shopify store, asked about an order, and got one of three unhelpful replies: a polite explanation of how to find orders in the Shopify admin, a claim that there are no orders, or a list that's clearly missing some.
Each of those points to a different cause. There are seven worth checking, and they're listed here roughly in order of how often they're the culprit. Most take under a minute to rule out.
Start here: which symptom do you have?
| What you see | Most likely cause |
|---|---|
| General advice about how to find orders | The integration isn't being used (causes 1 and 2) |
| "I don't have access to orders" | Permissions or access level (causes 3 and 4) |
| Orders from a different store, or none at all | Connected to the wrong store (cause 5) |
| Some orders, but not the one you want | The 50-order limit (cause 6) |
| It can see the order but won't change it | Working as designed (cause 7) |
1. You didn't mention Shopify
The simplest one, and the most common. If the request doesn't name Shopify, the assistant may answer from general knowledge instead of calling the integration. You get a tidy explanation of where the Orders page is.
Fix: Name it. "Using Shopify, show me order 4127." In ChatGPT, Shopify's plugin documentation suggests mentioning it directly, such as @Shopify.
2. The integration is off for this conversation
Installing the integration doesn't mean it's active in every chat. Shopify's Claude connector documentation says to confirm the connector is turned on for your conversation, and that if it's off, Claude might give instructions instead of doing the task.
Fix: Check the connector or plugin is enabled in the chat you're in, then ask again.
If ChatGPT keeps giving general advice even after you've named the plugin, Shopify's docs place the problem on ChatGPT's side and direct you to OpenAI's Help Center.
3. Your staff account can't see orders
This one catches teams. A connected AI tool can't do more than the person who connected it. Shopify's access guide puts it plainly: users are limited by their own permissions, so the tool can't do more than the user can.
If you connected with a staff account that has products and inventory but not orders, the assistant will happily tell you about stock and draw a blank on orders.
Fix: Open the Orders page in your Shopify admin with the same account. If you can't see orders there, the assistant can't either. Ask the store owner to adjust your permissions, or have someone with order access make the connection.
4. You declined part of the access request
When you connect, you're sent to your Shopify admin to approve the access the integration asks for. If you declined, or approved a narrower level than the task needs, some data stays out of reach.
Reading orders only needs read access, so this is less common than cause 3. It's worth ruling out if you were cautious during setup.
Fix: Ask the assistant to try again. If it needs more access, it will request it and you can approve. Note that the reverse doesn't work: you can't lower an approved level without uninstalling and reinstalling.
5. It's connected to a different store
If you run more than one store, or a development store alongside your live one, the assistant may be looking at the wrong one. You connect one store at a time.
Fix: Ask "Using Shopify, which store are you connected to?" It can return the store's name and domain. To switch, ask it to connect to the other store, then start a new conversation. Shopify's docs warn that an older conversation can keep using the previous store's connection, which looks exactly like "my orders have vanished."
6. The order is outside the 50 most recent
The order listing returns up to 50 recent orders at a time. On a busy store, that might be this morning. Ask "show me orders from last Tuesday" and the assistant may only be looking at a window that doesn't reach that far back.
Fix: Change how you ask.
- For a specific order, ask by order number: "Using Shopify, show me order 4127." If the assistant still can't find it, open it from the Orders page in your admin.
- For totals over a period, ask an analytics question: "How many orders did I get last week?" Analytics runs against your full store data, as covered in asking AI about your Shopify sales.
- For a search across history, use the filters on the Orders page in your admin, or an export.
A quick sanity check when a count looks low: ask the assistant how many orders it actually looked at.
7. It can see the order, but it won't change it
Not a bug. Through Shopify's official integrations, orders and customer records are read-only. On top of that, Shopify's considerations page lists actions that are blocked even when write access is approved:
- Issuing refunds
- Cancelling or capturing orders
- Marking orders as paid
- Processing returns
Fix: There isn't one, and that's deliberate. Use the assistant to find and summarize, then make the change in your admin.
If none of those is it
- Start a fresh conversation. Long chats can carry stale state.
- Check the integration is still installed in your Shopify admin. If it was uninstalled, the assistant has no access.
- Try a simpler request. "Using Shopify, list my five most recent orders." If that works, the problem was the phrasing of the harder question.
- Work out whose problem it is. For trouble with the assistant itself, Shopify directs you to the AI provider (Anthropic or OpenAI). For store or account issues, contact Shopify Support.
A two-minute test to confirm it's working
Run these in a new conversation, in order. Each one isolates a layer.
- "Using Shopify, what store are you connected to?" Confirms the connection and the store.
- "Using Shopify, list my five most recent orders." Confirms order access.
- "Using Shopify, show me order [a number you know exists]." Confirms single-order lookup.
If the first fails, it's causes 1, 2, or 5. If the first works and the second fails, it's 3 or 4. If both work and the third fails, check the order number.
Once it's working
Order lookup is one of the safest things to do with AI in your store, because it can't change anything. The prompts worth using are in looking up Shopify orders with AI, and the setup guides are here for Claude and ChatGPT.
There's a version of this problem that's harder to spot. When your own assistant can't see something, you notice straight away. When a shopper's AI assistant can't see your products, nobody tells you. They just get recommended a different store. The free AI readiness checker shows what those assistants can read from your storefront.
